CONGRESSIONAL MEETINGS

Advocacy Associates will schedule all congressional appointments on Capitol Hill for our Destination Capitol Hill participants. They will be handling all meeting arrangements based on the details provided in your registration form. If you have any existing congressional relationships that you'd like Advocacy Associates to consider when scheduling your Hill meetings, kindly include those in the designated section of the registration form. 

IMPORTANT: If you are planning to participate in Hill meetings, we advise you to register for Destination Capitol Hill as soon as possible when registration opens. Advocacy Associates will schedule your congressional meetings and provide a personalized schedule provided the registration is received in ample time prior to the event. It can sometimes take weeks to secure congressional appointments.

Please note the following:

  • Please do not contact any legislative office directly regarding your appointments. We are coordinating many meetings and want to keep confusion to a minimum. We are happy to answer any questions or concerns you might have regarding the event. Please call or email us with your questions. 
  • We will need your business and home address to correctly identify which representatives you should meet with. Please make sure you provide both addresses (including zip +4, if possible) on the registration form, along with any notes about your existing congressional relationships that you would like Advocacy Associates to consider when scheduling your meetings.  
  • If you have not “lobbied” before, do not worry. We will provide materials and a full issue briefing before you go to Capitol Hill. 
  • Everyone who will be participating in congressional meetings should plan to attend our Issue Briefing & Capitol Hill Preparation session. We will outline our current requests, distribute congressional schedules, and introduce you to others from your state who will be participating in your Capitol Hill meetings. It is essential that you attend even if you have been to Capitol Hill before. 
  • Because we only have a small window of opportunity for our congressional appointments, it is helpful if you make every attempt to be available from 9:00 a.m. - 5:00 p.m. Eastern on event day (April 2, 2025). In-person meetings with your representatives are more likely to be scheduled late in the afternoon, and we do not want you to miss out on these opportunities.

  • This year we are partnering with Advocacy Associates, a logistics firms that specializes in organizing the entirety of Hill Days in Washington, DC. In 2024, they completed 250+ of these events and secured 30,000+ meetings for 38,000+ advocates  
  • They will be assisting with the logistics of our Advocacy Day including all scheduling of Capitol Hill meetings  
  • The process of how your meetings will be arranged are as follows:  
    • Your home and business address will be used to match you with the appropriate Representative and Senators  
    • You will then be grouped with other attendees according to district, state, then region if necessary  
    • You will meet with the offices of Representatives and Senators where your home/business is located, and any relevant members of Congress that fall under the committees most pertinent to our legislative issues.  
    • You will have a total of 3-6 meetings  
    • An email with instructions to download their app and access your schedule will be sent roughly 1 week in advance of the event date, April 2nd. This will provide you with: 
      • Who you are meeting with in each office 
      • Talking points and supplemental documents 
      • A map to navigate from office to office 
      • Bios and committee assignments for each Member 
      • Realtime updates via push notifications for any changes and updates 
  • The time frame for our Advocacy Day is 10:00 AM - 5:00 PM ET, however, meetings may start earlier in the day depending on the schedules of your members of Congress
